Free Excel timesheet template
A ready-to-use .xlsx timesheet with the formulas already written: enter start and end times and Excel works out hours, billable hours and the amount for the week.
Download free — no sign-up
Engagements, timesheets, time approval, invoicing and billing sit on one record, so what a worker cost is tied to the role it was approved for. Try the demo on sample data with no sign-up. Timesheets and invoicing are included from the Core — Professional plan.
How to use it
- Download the Excel file (.xlsx), or the CSV file if you use Google Sheets.
- Type the worker’s name, the Monday the week starts and the approver’s name in the yellow cells at the top. The dates and days fill in for you.
- For each day, enter the client or project, role and task, then the start and end times (for example 9:00 and 17:30) and any unpaid break in minutes.
- Mark each line Y if it is billable and enter the hourly rate. Hours, billable hours and the amount calculate themselves.
- Save a copy for each week, then have the worker and the approver sign at the bottom.
The formulas, explained
- Hours:
=ROUND(MOD(End−Start,1)×24 − Break/60, 2). MOD makes a shift that ends after midnight count correctly. - Amount: hours × rate when the line is marked Y, otherwise 0.
- Billable hours:
=SUMIF(Billable,"Y",Hours). - Dates: each day is the week-start date plus 0 to 6, and the day name comes from
TEXT(date,"dddd").
To add more lines, insert rows above the totals; the SUM formulas stretch to include them. Print in landscape to fit one page.
What each column does
| Column | What to enter |
|---|---|
| Date, Day | Filled in from the week-start date. Extra lines at the bottom are for a second entry on the same day. |
| Client or project, Role, Task | What the time was spent on. Keeping the role lets you bill different rates for different roles. |
| Start, End, Break (min) | Times like 9:00 and 17:30, and the unpaid break in minutes. Shifts that end after midnight work too. |
| Hours | Calculated: end minus start, minus the break, rounded to two decimals. |
| Billable (Y/N), Rate, Amount | Mark Y for billable time and enter the hourly rate; the amount is hours × rate. |
Questions
Which Excel versions does it work in?
Any current version of Excel for Windows or Mac, Excel on the web, and other spreadsheet apps that open .xlsx files, including Google Sheets and LibreOffice.
Why does the hours cell stay blank?
It waits until both a start and an end time are entered. Type times as 9:00 or 17:30 so Excel recognises them as times.
Can I change the week to start on a Sunday?
Yes. Type a Sunday date in the week-start cell; the dates and day names follow it.
Is the Excel timesheet free?
Yes, with no sign-up and no email address.
