How to use it

  1. Download the Excel file (.xlsx), or the CSV file if you use Google Sheets.
  2. Type the worker’s name, the Monday the week starts and the approver’s name in the yellow cells at the top. The dates and days fill in for you.
  3. For each day, enter the client or project, role and task, then the start and end times (for example 9:00 and 17:30) and any unpaid break in minutes.
  4. Mark each line Y if it is billable and enter the hourly rate. Hours, billable hours and the amount calculate themselves.
  5. Save a copy for each week, then have the worker and the approver sign at the bottom.

Use it in Google Sheets

  1. Download the .csv file.
  2. Open Google Sheets and create a blank spreadsheet.
  3. Choose File › Import › Upload and select the .csv file.
  4. Choose “Replace spreadsheet” and keep “Convert text to numbers, dates, and formulas” ticked, then Import data.
  5. Or upload the .xlsx file to Google Drive and open it with Google Sheets; the formulas carry over.

What each column does

Client or project, Role, TaskWhat the time was spent on. Keeping the role lets you bill different rates for different roles.
Start, End, Break (min)Times like 9:00 and 17:30, and the unpaid break in minutes. Shifts that end after midnight work too.
HoursCalculated: end minus start, minus the break, rounded to two decimals.
Billable (Y/N), Rate, AmountMark Y for billable time and enter the hourly rate; the amount is hours × rate.

Questions

Is this timesheet template free?

Yes. Both the Excel and the Google Sheets versions are free, with no sign-up.

Does it work in Google Sheets?

Yes. Import the CSV file with File › Import, or upload the Excel file to Google Drive and open it with Google Sheets. The formulas work in both.

Can it handle night shifts that end after midnight?

Yes. If the end time is earlier than the start time, the timesheet counts it as the next day.

How do I record two jobs on the same day?

Use one of the extra lines under the week: type the date and fill in the second job. Totals include every line.

How do I bill different rates for different roles?

Enter the role and its hourly rate on each line. The amount is worked out per line, so different roles can have different rates in the same week.
