How to use it

  1. Download the .xlsx file and open it in Excel or Google Sheets.
  2. Fill in your details, the supplier, the delivery address, the PO number and the dates.
  3. Enter each item: SKU, description, quantity and unit price. Line totals and the subtotal fill in.
  4. Add shipping and the tax rate if they apply; the total updates.
  5. Have it approved, then send it to the supplier as a PDF and ask them to confirm.

How a purchase order works

  1. You raise a purchase order and have it approved.
  2. The supplier confirms the order and the delivery date.
  3. The goods or services arrive and you check them against the PO.
  4. The supplier invoices, quoting the PO number, and you pay against the PO.

What is the difference between a purchase order and an invoice?

The buyer sends a purchase order before the supply, to order goods or services. The supplier sends an invoice afterwards, to ask for payment. Matching the two is how buyers catch wrong charges.

Is a purchase order legally binding?

Once the supplier accepts it, a purchase order usually forms a contract on its terms. Check which terms apply if the supplier sends its own terms back.
