How to use it

  1. Download the .docx file and open it in Word or Google Docs.
  2. Give the procedure a title, a number, an owner and a review date.
  3. Write the purpose and the scope in a sentence or two each.
  4. List each step as one action starting with a verb, with who does it and how you know it is done.
  5. Have the owner and an approver sign it off, and review it at least once a year.

What should an SOP include?

A purpose, the scope, who is responsible, what is needed before starting, numbered steps, what to do about exceptions, what records to keep and a change history.

How long should an SOP be?

As short as it can be while someone new could follow it without help. If a procedure has more than about 15 steps, split it into two SOPs.

How often should an SOP be reviewed?

At least once a year, and whenever the process, the system or the rules behind it change.
